Release Notes — Week of August 24, 2026: Client Account Credits, Smarter Imports, and Telehealth Mirroring

This week's Clerie EHR release brings account-level client credits and clearer EOB handling, a rebuilt client import with duplicate review, mirrored self-view in telehealth, and dozens of billing, scheduling, and intake fixes for mental health practices.

Billing & Payments

  • Client payments that aren't tied to a specific service now land as an account credit you can see, spend across any charge, and undo if it was posted in error.
  • Overpayments from secondary insurance now post to the client's account instead of getting stranded.
  • Account credit is now protected against being spent twice, so balances stay accurate even when multiple people are working at once.
  • A partial reversal on a client's ledger is now recorded as a partial reversal rather than a full refund.
  • Refunds now follow the original payment's path, so money returns the way it came in.
  • Each EOB now has a readable number you can cite over the phone, plus a clear version chain when a payer sends a correction — corrections show what they supersede instead of appearing as a separate, competing EOB.
  • You can now record the allowed amount and the amount a payer kept (withholding) as distinct figures on an EOB.
  • Fixing a mistyped payer name no longer churns the ledger.
  • Applying a client's credit now works on rebuilt sessions, and a session's balance correctly reflects all of its live encounters — one client's credit will never cancel another's balance.
  • Editing billing details now saves only the fields you actually changed, and a client re-saving their insurance no longer detaches your clinic's claims.
  • Clearer error messages when the system is briefly busy, instead of an unexplained failure.

Client Import

  • The confirmation step has been rebuilt around a possible-duplicate review: before anything is written, you'll see which existing chart each row would affect and can decide whether to overwrite it.
  • Possible duplicates are flagged in the preview with clearer visual hierarchy, and your review decision is recorded with the import.
  • Duplicate detection now checks the same phone and name values the import actually stores, so matches are far more reliable.
  • Clients created by spreadsheet import are stored with the same identity rules as clients added by hand.
  • A large import that runs long now explains what happened instead of silently limiting how much you can bring in.

Client Records

  • Adding a client who already exists at another clinic now creates a proper record for your clinic instead of refusing.
  • A new duplicate warning flags possible matches when you add a client — and stays focused on duplicates rather than unrelated messages.
  • Quick search (Cmd-K) no longer hides clients who aren't in active status.
  • When two accounts match the same identity, the system now asks rather than guessing, and a client's own chart always resolves to the right clinic.
  • Read-only screens now clearly read as read-only, and validation happens before anything is saved.

Telehealth

  • Your self-view can now be mirrored, and mirrored frames are sent to the people you're meeting with.
  • Mirror settings now apply reliably — including when toggled mid-call, while your video is paused, or right after resuming — with no more frozen or dark self-view.
  • Menu toggles now state their current value rather than relying on color alone, and the mirror row tells you when it isn't applying.
  • Camera warnings, connection banners, and stall notices are more accurate — including after a screen share ends or a connection recovers.

Booking & Client Portal

  • Public booking now recognizes when a contact already exists at your clinic and routes them appropriately, with a rebuilt refusal page offering three clear next steps — including a link to the client portal.
  • A failed or refused booking no longer leaves a stray chart or half-finished record behind.
  • Clients who already verified their email in this browser won't be asked to verify again.
  • The Continue button stays disabled while a booking is being confirmed, and misleading 'Sending code' messaging has been removed where no code is sent.
  • A malformed date in a booking link now shows a friendly page instead of an error.

Intake & Insurance

  • Verified insurance policies are now clearly shown as read-only to clients, with a defined set of fields clients may edit themselves.
  • Intake steps no longer incorrectly mark a completed intake as incomplete.
  • One consistent definition of a client's current primary policy across the app.
  • Public intake now recognizes an existing same-clinic contact at the entrance.

Scheduling & Sessions

  • Recurring blocked time now correctly makes you unavailable — including on later days of a multi-day block and after a block is dragged to a new day.
  • No-show marking is now available as soon as the appointment start time passes, instead of waiting out the full session.
  • Supervision progress notes are now dated by service date rather than authoring date.

Consent Forms & Settings

  • Archive and on/off controls now say plainly what they do, inactive forms are unmistakable, and toggles lock with a progress indicator while a save is in flight.
  • Loading states no longer strand you on a blank screen.

Security & Privacy

  • Tightened protections around staff and client identity so records can only be viewed or edited by people with the right standing at the right clinic.
  • Client-facing and staff-facing accounts are now clearly separated in permissions checks.
  • Organization owners can no longer be locked out of their own settings, and role edits are recorded accurately in the audit trail.
  • Activity logs now record what actually changed, scoped to the correct clinic.

Other Improvements

  • Navigating away from unsaved work now prompts you first — using an in-app dialog rather than a browser popup — including from links that open in new tabs.
  • A cleared text editor is correctly treated as empty rather than as unsaved changes.
  • 'Prefer not to say' in demographics now survives a reload, and forms no longer report 'none' before they've finished loading.
  • Faster document loading on client charts.
