Release Notes — Week of August 3, 2026: Insurance Cards, Consent Overhaul, and Smarter Data Import

This week's Clerie EHR release brings insurance card previews and printing, a rebuilt consent and re-consent workflow, AI-assisted data import from other systems, and major accuracy improvements to claims, ERA posting, and eligibility checks for mental health practices.

Insurance Cards

  • You can now see insurance card previews right on the Insurance tab, without opening a separate viewer.
  • Download a card straight from its thumbnail menu, or from the full-size preview.
  • Print an insurance card at true life size — including both sides on a single page.
  • Unlink a card with a clear confirmation step, so replacing a card no longer destroys the original.
  • Card images stay available and correctly refreshed after edits, downloads, and prints.

Consent Forms & Re-Consent

  • You can now re-issue a consent form to a client who has already signed an earlier version, and the record shows exactly which version they read.
  • Consents are now attributed to the individual client rather than a shared household account, so families with multiple clients stay accurate.
  • The Assign dialog now loads your clinic's own consent catalogue, and refuses assignments that don't match the client's clinic.
  • "No expiration" now truly means no expiration, and assignments with a deadline enforce it consistently — including on resend.
  • Clients see clearly when a signing link is no longer valid, before they fill anything in.
  • Staff signatures, staff-on-behalf attestations, and guardian signatures are now clearly distinguished everywhere they appear.
  • Signed documents remain visible in the client's record, and cancelled or expired assignments can no longer be revived by a stray notification.

Client Intake & Records

  • Intake answers are now always saved to the correct clinic, and a failed save stops rather than silently continuing.
  • Leaving an optional email blank no longer blocks intake, and retrying a submission won't create duplicates.
  • An emergency contact without a name now prompts you for one instead of blocking the form.
  • Emergency contact phone numbers are now optional, and phone number is optional when adding a client.
  • Date of Birth is now optional when adding a client, and staff can set the client's status at creation.
  • You can choose to hold intake paperwork for clients who aren't active yet.
  • Staff can select "Prefer not to say" for demographics again, and an unusual stored phone number no longer blocks editing a contact.
  • Clearer messaging when a client can't be added or deleted, including when the person also exists at another clinic.

Data Import from Other Systems

  • An AI pass now suggests destinations for columns the importer can't match on its own, with clear progress while it works and an explicit way to decline a suggestion.
  • A single combined name column can now satisfy required first/last name fields, and combined insured-name columns are recognized.
  • Your reviewed column mapping is now frozen — later learned aliases can't quietly change an import you already approved.
  • Update-mode imports no longer erase insurance fields that weren't included in the file.
  • Better date handling: ambiguous, blank, or partially readable dates are salvaged or flagged honestly instead of being dropped or reversed.
  • Added a guided CSV preset for practices migrating from another therapy practice system.

Claims & Billing

  • Claims tab filters are now deep-linkable — share or bookmark a filtered view, and filter changes no longer blank the page or scroll you away.
  • New per-claim claim filing indicator override, with a clear indicator on filed claims and consistent behavior when you change payers.
  • Appeal letters have a restored entry point on the Claims tab, show an existing appeal instead of forcing a regenerate, and clearly disclose AI-generated content.
  • Appeals now only contest adjustment reasons that are actually appealable, and distinguish "no remittance on file" from "unreadable remittance".
  • Released client payments correctly return to available credit, and you're warned about credit on file when raising a client-paid amount.
  • Check number is now required when recording a payment.
  • Numerous money-accuracy fixes so refunds, releases, voids, and reversals always land in the right bucket.

Remittance (ERA) Posting

  • Patient-responsibility decisions now show the exact residual the action will dispose of, and ask for confirmation before posting.
  • The payer's real adjustment reason codes are preserved on manually entered remittances instead of being flattened.
  • You can now record payment details when correcting or manually applying a remittance.
  • Holds are clearer: the worklist routes on the actual hold reason, hold reasons read plainly, and stale holds can be cleared instead of getting stuck.
  • Replay and write-off sweeps now respect open holds, and skipped items are reported rather than silently passed over.
  • Amounts are conserved to the cent across claim lines, and actions that would post nothing are refused.

Eligibility & Insurance Verification

  • You can now see the payer's coverage window directly on the Insurance tab, with the end date correctly treated as the last covered day.
  • AI-interpreted benefit responses give you a plain-language read on coverage, framed as advice rather than an instruction.
  • A rejected eligibility check is now clearly distinguished from an actual coverage denial.
  • A server error no longer wipes the analysis already on your screen, and Policy Details rows line up evenly.

Assessments & Risk Alerts

  • Crisis resources now appear immediately when a client's responses indicate risk, including on already-completed retries, with the screen scrolling to the top.
  • CRITICAL risk alerts now appear on the dashboard, styled to stand out.
  • Risk alerts re-route automatically when a client's care team or primary clinician changes, and are never disclosed across a client's other cases.
  • Whole radio option rows are now clickable, and slider assessments have clearer banding and centered scores.
  • Several legacy screening tools were retired or held pending clinical review; clients see neutral "not available" wording.

Online Booking

  • Clinics can now embed their booking page directly in their own website, sized automatically to the booking card and without Clerie chrome.
  • Cancellation is reachable and visible inside an embedded booking page.
  • An animated loading indicator on the calendar, and embeds no longer scroll the host page when they load.

Reliability & Polish

  • Disabled-button tooltips are now actually visible, so it's clear why an action isn't available.
  • Improved error handling across AI features — incomplete responses are never shown or saved as if they were complete.
  • Behind the scenes, we tightened permission checks so office admins and staff see exactly the client records they should.
