Release Notes — Week of July 13, 2026: A New Claims Experience, Working-Hours Scheduling, and Smarter Insurance Payment Handling

This week's Clerie EHR release brings a redesigned billing experience with Claims (Beta) as the default, true working-hours scheduling for therapists, secondary and tertiary insurance filing, and more reliable AI note generation for mental health practices.

Billing & Claims

  • Claims (Beta) is now your default billing tab, with the billing tabs reorganized and simplified so you spend less time hunting for the view you need.
  • Switching between billing tabs is noticeably faster, with no more blank flashes or stale counts when you move between Ledger, Claims, and Self Pay views.
  • Deep links into billing now open the right tab every time, and retired or unrecognized links quietly redirect instead of landing you on an empty screen.
  • Claim status now shows the full pipeline stage everywhere it appears, so a claim's real position in the process is consistent across your screens.
  • Denials you convert are now routed straight to Reconciliation, so follow-up work lands where your team already looks for it.
  • Billing specialists can access Practice Settings and the clinic calendar, with permissions scoped appropriately for billing work.
  • Self Pay clients with a single encounter can now be invoiced directly, and the older third-party-payer card invitation flow has been retired in favor of clearer payment options.

Insurance Remittance (ERA) & Payments

  • Held remittances now carry a clear reason, and the resolution dialog offers only the actions that actually apply to that hold — no more guessing which button is correct.
  • Payer clawbacks and recoupments now surface as their own action items, with accurate $0 receipts and a payer refund obligation recorded automatically.
  • We closed a range of edge cases where remittance cash could be double-counted, stranded, or reported as applied when it wasn't — balances and receipts are now materially more trustworthy.
  • Conflicting remittances that were previously dropped are now captured and surfaced for review, and duplicate submissions are handled gracefully.
  • Voiding, cancelling, discharging, or deleting records tied to a held remittance is now blocked with a clear explanation instead of silently stranding money.
  • Stuck remittance processing now recovers automatically, so you're less likely to need support intervention.

Secondary & Tertiary Insurance (COB)

  • You can now file the next payer in a coordination-of-benefits chain, including tertiary claims, with prior-payer details carried through automatically.
  • Secondary and tertiary remittances now apply correctly, including cases where the primary payer's labeling disagrees with the coverage on file.
  • COB overpayments now have their own worklist and a dedicated disposition dialog, so you can decide how to handle them — including crediting the patient — without inflating other balances.

Scheduling & Self-Scheduling

  • Scheduling now honors each therapist's actual working hours instead of assuming a default 9-to-5 window.
  • You can set a default service code for self-scheduled sessions, and choose or change the service code when accepting a pending booking — with a searchable service picker and an inline "Set as default" shortcut.
  • The client booking portal now shows a loading state while availability loads, and displays "contact the clinic" with your contact details when no times are open — instead of an ambiguous empty calendar.
  • If a slot is taken while a client is booking, they now see a clear dialog explaining the conflict, and already-booked rooms are disabled in the approval picker.
  • Newly invited or reactivated therapists automatically receive a default schedule, so they're bookable right away.

Notes & Documentation

  • AI-generated notes now respect your clinic's note template, including when extracting individual notes from a group note.
  • Stray formatting artifacts no longer appear in AI-generated notes.
  • "Use last note" now pulls the correct completed note, ordered by when it was finished, and no longer loads the current note onto itself.
  • Case notes show a clearer empty state when no prior note exists.

Assessments & Session Prep

  • The client assessments list is now paginated with a rows-per-page selector for easier review of long histories.
  • You can dismiss Cross-Cut Screening recommendations, and dismissed items stay dismissed across screens.
  • Assessment trend charts now include older history, with every time-range preset selectable and a sensible default view.

AI Assistant

  • Claim and billing answers from the assistant are now scoped to the specific client and claim you're asking about — important for clients with similar names.
  • Superbills and session details now show the full set of service codes, with clearer wording about how amounts and aging are calculated.
  • Additional access checks ensure the assistant only ever surfaces information the signed-in user is permitted to see.

Onboarding & Settings

  • The Getting Started checklist is now available to billing team members and includes universal steps like messaging your team, the AI assistant, and tips & tricks.
  • The clearinghouse setup step now takes you straight to the right place and opens the enrollment dialog for you.
  • Onboarding progress and completion now persist reliably, and Contact support points to Clerie support.
  • Saving practice settings no longer prompts you to re-complete identity details every time.

Clients & Data Import

  • Client imports in fill mode now only add missing information — existing insurance, household notes, and other details are preserved.
  • Missing dates of birth from earlier imports are recovered automatically.
  • Editing a client email that overlaps with another client now saves correctly, with clearer messaging when an identity conflict is detected.

Team & Collaboration

  • The New Conversation dialog now keeps its actions in a sticky footer, so the send button is always reachable.
  • Supervision access checks are faster and report genuine errors more honestly, with fresher pending counts per user.
  • Clinic-authored billing note threads no longer email Clerie admins, and the clinic-facing "Notify Clerie team" option has been removed for clearer ownership.
