Release Notes — Week of June 15, 2026: Invoice Send-Lock, Card-on-File Telehealth Access, and Smarter Claims

This week's Clerie EHR release brings a safer invoicing workflow, card-on-file requirements for telehealth sessions, stronger claims and ERA handling, and a refreshed calendar experience for mental health practitioners and their practice management teams.
Invoicing & Payments
- Invoices now lock when you send them, so amounts stay stable after your client receives them — no more accidental edits changing what was billed.
- You can mark or unmark a session as cancelled or no-show directly from a draft invoice, and apply or remove the associated fee inline.
- Written-off and archived invoices now display clearly as closed, both in the invoice dialog and on the client-facing pay page.
- Clients who open a link for an archived or voided invoice now see a friendly, patient-facing page with contact details instead of an error.
- Invoices no longer flip to Paid when the balance reaches zero without an actual payment, keeping your books accurate.
- Archiving an invoice automatically expires any open checkout session, so clients can't pay against an invoice you've closed.
- Refunded invoices now support clean retry-payment and archive paths.
- The Send button is protected against double-submits, and payment date fields now reflect the date a payment was actually received.
- Account credit handling has been improved, with clearer labeling when collecting copays or deductibles so amounts aren't mislabeled.
- In the Client Pay workbench, Invoiced and Paid statuses are now distinct and update automatically after payment; the Overdue category has been removed for clarity.
Telehealth
- You can now require a card on file before a client joins a telehealth session, configurable at the clinic level.
- Clients without a card on file get a self-serve "add a card to enter" flow right on the join page.
- A new multi-client picker makes it easy to copy the correct join link when a session involves more than one participant.
- Join controls have been simplified and are now driven by session type, removing duplicate buttons and confusing states.
- The telehealth notification method selector is back on session creation.
- Audio reliability has been improved so remote participants stay audible while the session starts up.
- If a biller isn't yet configured, you'll get a clear warning with a shortcut to the right billing settings.
Claims & ERA
- Denied and clearinghouse-rejected claims can now be voided, while unsubmittable voids are marked terminal instead of lingering.
- ERAs tied to superseded claims are surfaced for review rather than being misapplied to the wrong claim.
- A new payer ERA-status pill shows connection and enrollment state at a glance, including an "Enrolled" and "No Connection" state.
- Medicare PTAN requirements now surface at the eligibility consent step, and the field remains reachable even if provider details are slow to load.
- Manual enrollment tasks are now supported, and enrollment-blocked policies are reported as skipped during batch verification.
- CMS-1500 accuracy improvements: corrected telehealth place-of-service derivation, office selection, subscriber name, and diagnosis pointer handling.
- Unmatched ERA tab badge counts stay accurate as you dismiss or resolve items.
- Claims and payment views now respect organization-level permissions.
Scheduling & Calendar
- The appointment dialog has a refreshed header showing the client name, service code, and appointment time, with actions consolidated into a single menu.
- Claim links are now resolvable directly from the appointment menu.
- Weekly schedule editing is more reliable: overlapping slots are rejected, entries sort chronologically with smooth animation, and autosave only runs after you've actually made a change — so a failed load can never wipe your schedule.
- A new calendar billing mode and a polished session prep dialog make pre-session preparation faster.
Cancellation & No-Show Fees
- Cancellation and no-show fees are now blocked on sessions with an already-submitted claim, preventing conflicting charges.
- Cancel and no-show behavior is now symmetric, so both paths handle claims and fees the same way.
- The late arrival fee feature has been removed, with existing paid records left untouched.
AI Assistant
- Scheduling questions and confirmations now use your local timezone throughout — availability checks, reported schedules, and created events all reflect the correct time.
- The assistant runs on updated AI models for better responses.
Reliability & Fixes
- Billing safeguards prevent duplicate charges and protect finalized ledger records when multiple processes run at once.
- Late-arriving billing records are now processed rather than silently skipped.
- Invoice dialogs refresh reliably on reopen, and error banners stay scoped to the invoice they belong to.
- Sample data no longer appears in staff lists for clinics that have opted out.
- Our Terms of Service and Privacy Policy have been updated as of June 19, 2026.
- Support tickets now include a direct link to the related session, and admin reply emails include richer context.
- Performance improvements across claims and billing views mean faster loads on large caseloads.
