Release Notes — October 28, 2026: Searchable Historical Records Archive

By Clerie Team

Clerie's EHR for therapists adds a searchable historical records archive with bulk downloads and storage insights, plus major improvements to insurance payment reporting, invoice payments, and risk alerts for mental health practice management.

Historical Records Archive

  • You can now search your archived files by keyword — search looks inside file names and the text of your documents, so you can find a record even when you only remember a fragment of its name or a phrase it contains.
  • The archive has a new search-first layout with a file-type filter, making it faster to narrow down to exactly the documents you need. The filter stays comfortably on screen on phones and tablets.
  • You can now select files and download them together as a single .zip — including a 'select all' option that captures every file matching your current search and filters, not just the ones on the page.
  • Uploading is clearer: the upload area now works as a visual drop zone, and long file names and labels display cleanly without breaking the page layout.
  • A new storage overview shows how much archived material your practice is storing and what it costs per month, updated with a daily snapshot so you can track growth over time.
  • Uploads are more reliable: cancelled uploads are never reported as saved, interrupted uploads resume safely, and files with accented or non-English characters download with their names intact.

Insurance Payments & Claims

  • A new Insurance Payments report breaks down payments received by week and month, with a drill-down CSV export so you can reconcile revenue at the level of detail you need.
  • Large insurance remittances covering more than 50 claims now process in batches, so big payer files apply smoothly instead of stalling.
  • Claims now show "Multiple ERAs received" only when two or more statements have genuinely arrived, reducing confusing status labels.
  • Remittances are matched more accurately: only statements from the claim's own payer are routed to it, and payment lines are dated in your office's time zone rather than an individual clinician's.
  • Refused remittance files now correctly refuse their later batches too, and claim numbers group together regardless of letter casing.
  • Billers are no longer pointed at a retired rebuild step when reviewing unmatched remittances, and retired claim extraction statuses have been cleared out of the interface.

Invoices & Payments

  • Online payment links now stop collecting for visits and fees that have already been paid, so clients are never charged twice.
  • A payment is capped at the invoice's actual remaining balance, and any amount that cannot be applied lands on the client's account credit with a to-do for your staff to review.
  • Partial refunds now correctly reopen the invoice and its payment link for the outstanding amount, and full refunds return the invoice to its issued state.
  • Reversals only undo what a payment still holds, and card refunds unwind the most recent allocation first, keeping your ledger accurate.
  • Duplicate or replayed payment confirmations are handled safely and will not override an open review.
  • Correcting a front-desk payment now reopens the invoice it was linked to.

Risk Alerts & Supervision

  • Clinicians who aren't assigned a supervisor can now approve risk alerts for their own clients, so alerts don't sit unaddressed.
  • Risk alerts are routed only to supervisors who actually have approval rights in your clinic.
  • The My Risk Alerts review dialog is now wider, matching the Supervision view so you can read alert details without scrolling.

Practice & Account Administration

  • Account cancellation is now cleaner and safer: renewal charges that would start during deletion are refused, a deleted practice won't be billed afterward, and lingering records no longer block the process.
  • An owner who belongs to more than one practice can sign back in normally after one of their practices is closed.
  • When a clinician is removed, their cases stay correctly with your practice.
  • Admins can now look up a user by ID regardless of which role filter is applied.
  • Subscription changes are applied only to the correct practice, and blocked subscription switches now explain a remedy that actually resolves the issue.
  • Booking lead-time calculations now exclude sessions from series that have been stopped.
